05 — Client and Dog Knowledge Base
The dog profile is the most important artifact in this vault. It’s what allows a groomer who has never met a dog to walk in and deliver a consistent, safe, personalized groom on the first appointment.
How This Section Works
Each client gets one file in active-clients/. That file contains:
- Client contact information and preferences
- One embedded dog profile per dog they bring in
- A complete appointment history table
Templates
Always use these templates when creating new records:

Active Clients
Files live in active-clients/. Name each file: LASTNAME-FIRSTNAME.md
Example: active-clients/Johnson-Sarah.md
Agent Instructions
Creating a New Client Record
- Copy client-record-template to
active-clients/LASTNAME-FIRSTNAME.md - Fill in all contact fields
- Add a dog profile section for each dog using dog-profile-template
- Record vaccine dates and note the verification date
After Every Appointment
- Open the client’s file in
active-clients/ - Add a row to the Service History table (bottom of the dog profile)
- Record the groomer who performed the service and who approved it
- Note any observations about coat condition, temperament, or special handling
- If Kendra added notes, record them in the Kendra’s Notes field — do not overwrite previous notes, append with date
Flag Procedure
If a dog displays aggression, biting, or unusual health symptoms:
- Record in the dog profile under Temperament & Handling → Flags immediately
- Bold the flag text:
**Has snapped at ears. Muzzle required for ear cleaning.** - See aggressive-dog-policy for the full escalation protocol
